A webinar funnel where every step shows up in the CRM

Someone registers for a webinar and doesn't show up. Or shows up but never books a consultation. For an online academy I built webinar funnels in Telegram bots that remind, bring people back and lead them to a consultation, with every step visible in the CRM.

The challenge

Webinars where nobody gets lost

The academy attracts students through webinars: it shows the profession, explains the learning options and invites people to a consultation. It needed a system that guides each person from sign-up to consultation and passes every step to the CRM.

The challenge is that people take different paths: joined live or not, watched the recording or not, booked a consultation or still thinking. Each path needs its own messages, and the CRM must move the person to the right stage so the team calls at the right moment.

How it works

The webinar funnel step by step

Live webinar: the whole funnel in one bot

Registration, phone and email capture, bonuses, tags, CRM sync, reminders, the stream link, follow-ups and the recording. This is the funnel for one webinar.

One-click registration

People see what the webinar covers, the date and the bonuses, and register with one button. The bot asks for phone and email so the CRM can recognise them later.

Reminders at the right time

On the webinar day the bot sends a series of reminders: during the day, in the evening, an hour before and 10 minutes before, with the stream link.

“We're live!”

Once the webinar starts, the bot calls in those who haven't joined and says what's being discussed. This keeps attendance at 44%.

After the webinar: different messages for different people

Tag filters separate those who attended from those who didn't. Each group gets its own series: case studies, practical tasks, graduate stories and a consultation invite.

Consultation booking

People book with one button, get the promised bonus and the bot confirms their phone number. The data goes straight to the CRM so the calls team knows whom to call.

A recording for no-shows

The next day the bot sends the recording with 48-hour access and leads the person on to a consultation.

Auto-webinar: the next showing

The bot sets a tag, saves the course, sends a webhook to the CRM and uses the sign-up time to invite the person to the nearest showing.

The auto-webinar runs daily without a speaker

The full auto-webinar funnel: sign-up, showing, quiz, message series and consultation. Leads come in every day without a speaker, and each of their steps reaches the CRM too.

Results

What changed

  • A complex structure that runs itself: 13 live webinars and daily auto-webinars, with separate branches for live attendees, recording viewers and consultation bookings.
  • 4,530 → 3,231 → 1,433: 71% of bot visitors register, 44% of registrants join live, another 286 watch the recording.
  • 231 consultation bookings after live webinars (16% of attendees).
  • Two systems working as one: dozens of chains and branches in SendPulse bots and separate NetHunt automations for live and auto-webinar sign-ups, live attendance, recording views and consultations.
  • Every stage is passed to the CRM via webhooks: sign-up, live attendance, recording, consultation booking. The “live attendee” stage alone has processed 3,400+ events.
